Bay Area Educational Theater is proud to present our 48th mainstage production, Elf The Musical!
Performances will be held at the Bayside Performing Arts Center in San Mateo, California, November 7-10, 2024.

Key dates and information
Pre-audition Workshop (optional but encouraged!)
Saturday, August 10, 2024 - 11am to 1pm at Melodic Remedy Dance Studio (767 Industrial Rd, San Carlos, CA). Learn the audition dance and get tips on auditions!

Auditions and Callbacks
Auditions will be held by appointment only on Saturday, August 17th and Sunday, August 18th. Signup link and audition materials will be sent upon registration.

Callbacks will be held by invitation only on Saturday, August 24th.
Rehearsals
Rehearsals will be held in person at Melodic Remedy Dance Studio on Saturdays and Sundays, 12pm-5pm, starting August 25, 2024. (Specific cast rehearsal times will be updated weekly.)

Mandatory tech week and dress rehearsals at Bayside PAC will be held weeknights the week leading up to the performances on November 7-10.

Mandatory Parent/Guardian Meeting - August 25, 2024
Please plan to have at least one parent or adult guardian attend our mandatory parent/guardian meeting on August 25th (during the first rehearsal). In this meeting, we will discuss the performer and family expectations in detail, as well as provide opportunities for questions and onsite volunteer committee signups. If time allows, we may also include a tour of the warehouse.

Volunteer Requirements for all Families
Bay Area eTc relies on its volunteers to ensure a quality production. We need your skills, time, talents, enthusiasm, patience, knowledge, willingness to learn, and sense of humor!
For each mainstage show, our family volunteers typically donate over a thousand hours of their time to support the production. But it's a lot of fun! We pride ourselves on being a family organization where moms, dads, siblings, grandparents, and friends build skills, make friends, and have fun while "doing theater".

Mandatory Volunteer Commitment
The minimum participation requirement is thirty (30) volunteer hours per household. NO EXPERIENCE IS NEEDED! Our production staff and committee coordinators will help guide you through any tasks needed. This includes any set construction or costume work. It's fun and you can learn new skills to boot!

Each family should plan to spread out their volunteer hours for both pre-show committee tasks (set construction, costumes, etc.) as well as in-show duties (deck crew, front of house, chaperoning, etc.) during the performance run. Extended family, friends, and other interested volunteers are welcome to work on the show alongside the parents, all under the guidance of our costume and set designers. Younger volunteers can also help, but must be supervised and be able to follow instructions.

Volunteer sign-up URLs and/or physical sign-up sheets will be provided at the mandatory parent/guardian meeting on August 25th.​
​
If a family does not fulfill the commitment, steps are taken in the following order: 1) a friendly mid-production phone call or email inquiring why the commitment is not being kept; 2) a buyout fee of $20 per hour for hours not fulfilled will be added to the family's account.

Mandatory Load-in and Strike
In addition to the 30-hour volunteer commitment, each family is required to participate in LOAD-IN (transport of set pieces from the warehouse to the theater and its construction on site) and STRIKE (disassembling sets and transporting back to the warehouse after the last show). These work days are mandatory for all families and do not count toward the 30 volunteer hours.​

Volunteer Buyout Option
While our strong preference is for all families to be involved in the production (remember, extended family and friends can help you with this!), we understand that parents and guardians often have many competing time commitments and may be unable to fulfill the 30-hour volunteer requirement. Families can purchase a volunteer requirement buyout option for $350 during the online registration process if they are unable to volunteer 30 hours over the rehearsal and production period. Please note that families purchasing the family buyout option must still participate in LOAD-IN and STRIKE.​
Costume Policy
A separate costume fee will be charged for each cast member, separate from the registration fee. This fee covers the construction and tailoring of each costume. The costume charge is based on the complexity of the costume(s), but will never exceed $125 per cast member. Bay Area eTc will cover any additional costume cost above that amount. Costume invoices will be distributed prior to the closing of the show, and must be paid by the closing performance.

Cast members are responsible for providing their own shoes and makeup. This is not included in the costume fee.

Students must agree to wear the full costume as directed by the costume designer and director; failure to do so will result in the student’s removal from the role. Costuming requirements will be forthcoming early in the production process. Guidelines and deadlines for costumes will be provided by the Costume Committee Chair as directed by the Costume Designer.​
Drop / Refund Policy
If a registrant wishes to withdraw from the program, refunds will be issued as follows:

Registrants who drop prior to the pre-audition workshop on August 10th will receive a 100% refund.

Registrants who drop prior to the first audition day on August 17th will receive a 75% refund.
​
No refunds will be given after auditions are completed.
