Parking Pass
There are still a few parking passes left and they will be available at rehearsal on Saturday, first come first served. The pass cost $15. Daily parking at Canada is $2 per day per car. Please see Danielle if you would like a pass.
 

Chaperones
We are still looking for some chaperones for the Nov. 14 day show, and Sat. 21 day show. If you still need to fulfill you hours please sign up.
 

House Duties
We still need help with the house duties. If you are looking to fulfill your hours this is the committee to sign up for! Each show for which you work house duties for will count as 2 hours of volunteer time. You will need to be at the show 45 minutes early and will work during intermission and will likely not be able to go into the show when it starts or immediately after intermission.

Cast Party News
We will be having a chocolate fountain at the cast party and we need DIPPERS. On Saturday look for the sign up sheet outside of the rehearsal door. You can sign up to bring fun dipping items for our fountain. We need EVERYONE to help with bringing something to the cast party.. Thank you in advance for your help. If you are not going to be at drop off or pick up...could you tell your carpool driver or responsible child what item you might like to bring. ie: Large Marshmallows, Graham Crackers, Strawberries, etc. We will also be needing soft drinks or bottled water.....
 

Costumes, Hair & Make Up
We ask that the actors arrive at the theater in their costume with their hair and make up done and ready to go. It is important that this happen because we will need all the time we can get for all the technical warm ups. Hair and make up will not be permitted to be done at the theater. Actors should take their costume home each evening. It is best to have a labeled laundry basket they can use to bring their costumes back and forth in after every show. Be sure that their costume is also clearly labeled.

Nitty Gritty Day – Sunday, November 1
This Sunday is Nitty Gritty Day. This is our last chance to make the sets, props, costumes and such for the actors. These actors are working hard to put on a great show! All families are required to be represented by one member of their family. Some things to remember: wear appropriate shoes for working in the warehouse. closed-toe, no heels, sandals, flip-flops. even in the costume/prop area!! We need brushes, and need folks to bring tools, especially cordless drills with screw bits. Wear clothes that can get dirty or painted. Please be sure to sign in and Jeanne will be there to give you a task!
 

Chaperones

Poster Up-date
There are still 5 small and 6 large posters available if anyone has a spot that they can hang one. They will be available at rehearsal this weekend.
DATE ERROR: On the small version of the poster, the show dates read November 13-22, 2007. If you have any small posters you haven't hung yet, please make that 7 into a 9! Also, if anyone sees a small poster up with the incorrect date, please make the change with a marker or pen.
 

Tech Week
What is tech week you might ask….
 

Well Tech Week is the week where the actors and staff move into the theater and take what they learned at Parkside for the past 10 weeks and bring it to the stage to get ready for opening night. This is a very exciting time but a very busy and hectic time. Time at the theater begins on Sunday, November 8 with a safety tour of the theater. The staff will teach the kids theater etiquette and rules that they will need to abide by during the show run. The rules are in place mainly for the safety of the actors, stage crew and volunteers.
 

Once the safety talk is done and the actors begin to run through the show, the actors will be situated back stage in the "green room".
 

As you know already or may have heard from other parents, tech week requires the actors to sit around – A LOT. There are many tech pieces that need to be worked out with the director, stage manager, choreographer, music director and orchestra, vocal director, lighting and sound designer, set designer, set crew, and stage crew (did I leave anyone out?). But the cast must be there to work their scenes when it is time to be on stage, so it is vital the actors are there the whole day.
 

This presents the issue of "how do we keep the kids quiet, attentive, active but not too active, and interested?" Good question! The actors should bring activities to keep them busy. One thing I do is ask my daughter’s teacher for her homework for all next week and she works on that during the down time. I have also seen kids playing cards, knitting, playing travel board games, reading books, doing crossword puzzles, coloring, drawing…you name it. If it is a quiet activity, it is a good idea to bring it! Be sure anything your child brings is clearly labeled so if it is misplaced (come on – I’m just being realistic) it is easy to get it back to the owner.

On our long Sunday call, staff and chaperone volunteers will do our best to give the kids some time to get outside and run off some of their energy. We all know it is hard to keep kids quiet when there are 90 of them, but we will get them some time to get fresh air and stretch their legs.
 

Remember to send your child with a lunch and snack on Sunday. They are not allowed to eat in the theater or back stage, but we will provide them time to have lunch and snack.

Set Construction

Set construction and painting will continue every weekend, and there's only
two weekends left to finish things! It's open to all family and friends, even if you didn't sign up for this committee. Just wear appropriate clothing and shoes, bring your tools or painting gear if you have them, and come join the fun! It's such rewarding work to create things for the production and then more fun to see them onstage!

Time to sign up for chaperone duty! A poster with available slots will be up at Parkside outside the main practice room. Signing up for one of the tech rehearsals in addition to the performance slots is suggested to get an idea of the flow of the show and which groups are needed during which scenes. I ordered ticket vouchers ... Now What?
You should receive your vouchers in your folder at rehearsal. You can redeem them by emailing tickets@bayareaetc.org and detailing how many seats you would like and for what show and what voucher numbers you would like to use. Then you need to bring the voucher to rehearsal or the box office to receive your tickets. Another way to order is to bring your vouchers to rehearsal and put them in the ticket envelope - make sure you have specified on the voucher the show for which you would like to have tickets. You can also bring your vouchers to the Box Office one hour prior to show time and receive tickets, however, seats are assigned and you will receive better seats if you order ahead!

 
I ordered a Proud Parent Pass ... Now What?
If you ordered a proud parent pass Danielle or Bonnie will be taking you picture and you will receive a small card that is your proud parent pass. Cards will be distributed during Tech Week. Then, one hour before show time you can present this pass at the Box Office at the theater and receive an assigned seat. You need to have the pass with you and the pass are not transferable between parents.

Bios & Head Shots
It is time to have the actors write their bios. Bios should be one paragraph and written in third person. Here are some questions your actor can answer to help them get started on writing their bio: 1. What other plays have you been in? 2. What are some of your favorite past roles? 3. What do you like best about being in this production? 4. What is your favorite thing about acting? 5. In addition to acting, what other activities do you do? 6. Who has influenced you most in your acting and why? 5. Is there anything else that you would like others to know about you? CRUNCH TIME. Please know that you attendance is CRUCIAL and much needed for successful run throughs!

 
No More Conflict Requests
No more conflicts will be accepted at this time. If you have not requested a conflict after this weekend, it will count as an absence and the actor may be removed from a number. Please also evaluate the conflicts you have already reported to be sure it is really necessary. Every rehearsal and every actor is very important and it is vital they attend the rehearsals from herd on out. Tech rehearsal dates are mandatory and no conflicts will be accepted.

 
Tardiness – PLEASE BE ON TIME!
There has been quite a bit of tardiness this show. Actors are arriving 5 or 10 minutes late and wandering in at a slow pace. The staff has asked that all cast members are 5 minutes EARLY from now on. Actors must be on time to rehearsal. If they are not, they miss important things and fall behind. So please bring your actor EARLY from now on.

 
Appropriate Clothing
Please be sure your actor has appropriate clothing. We have actors coming to rehearsal in tight jeans and shoes that are not conducive to dancing. Remember, this is an activity that requires the actors to move around a lot. It is a safety issue if they do not have clothing that allows them to move. Please send your actor in loose and comfortable fitting pants, t-shirts and soft type shoes like jazz shoes. Shoes are required AT ALL TIMES. Please no converse, corcs or flip flops. If you actors is not in appropriate clothing, they will be asked to sit out and watch the rehearsal. If the continue to not wear appropriate clothing, they may be removed from a number. Hair should also be pulled back and not in the actors faces.

FYLERS for PRIVATE SCHOOLS

The Publicity Committee is distributing flyers to the public schools that will take them between San Bruno and Palo Alto. If you'd like flyers to distribute to a private school, they'll be available at rehearsal this weekend near the table where the kids sign in.
Please use the sign-up sheet to let us know where you are taking them so we don't duplicate efforts. Remember-- the time you spend distributing flyers counts toward your family volunteer hours!

 
Set Construction

Set construction continues
every Saturday and Sunday. Thank you to the "regulars" who come every week to help out! We had a bit of a slow start, but things seemed to be moving along, and Nitty Gritty weekend was great. This past weekend was really a struggle - only three people came on Saturday. We don't want to fall behind, so we need everyone to make the effort to put in a few hours each weekend.

Ads
This is the last weekend to put an ad in the program. Approximately 2000 people see the program during the run of the show. You can bring a business card or email the add by October 18. The ad must either be ready to scan or ready to download. You can email an electronic copy of the ad to bayareaetc@yahoo.com .

 
Raffle Prizes and Volunteers:

Prizes: Copies of the raffle prize solicitation letter will be available at rehearsal.. Please take one...and share it with your favorite vendor (store, restaurant, kids activity, salon, etc.). The TAX ID number is included and their donation is tax deductible. They also get recognition in the program. A soft copy of the letter is attached to this e-mail if you'd like to personalize the "To"...or just be able to make lots of copies! Thank you!

 
Volunteers: If you would like to help with the raffle at the performances, please contact Carrie Ridge at carrie.ridge@gmail.com or at (650) 207-7137. She needs people to contact her asap. The plan is to also sell Wonka Bars at the Raffle Table (5 Golden Tickets to be found inside them).
Looking for people who don't mind 'selling the heck' out of raffle tickets and/or Wonka Chocolate Bars. It is loads of fun!! :) For each performance, we need at least two people staffed. For each performance worked, the volunteer will accrue 3 hours towards the mandatory 25 hours per family.

Another way to order is to bring your vouchers to rehearsal and put them in the ticket envelope - make sure you have specified on the voucher the show for which you would like to have tickets. You can also bring your vouchers to the Box Office one hour prior to show time and receive tickets, however, seats are assigned and you will receive better seats if you order ahead!
 

I ordered a Proud Parent Pass ... Now What?
If you ordered a proud parent pass Danielle or Bonnie will be taking you picture and you will receive a small card that is your proud parent pass. Cards will be distributed during Tech Week. Then, one hour before show time you can present this pass at the Box Office at the theater and receive an assigned seat. You need to have the pass with you and the pass are not transferable between parents.

Nitty Gritty Wrap Up
A very big Thank You to all the parents who helped during the first Nitty Gritty weekend. We accomplished so many of our tasks! The office, prop, and costume areas are very neat and organized. Flyers were counted for school distribution. Set painters did a wonderful job, and our set construction crew completed many pieces and began some new ones.
 

Set Construction
Set construction and painting will continue every weekend. Saturday 10-3:30 and Sunday 1-6. It's open to all family and friends, even if you didn't sign up for this committee. Just wear appropriate clothing and shoes, bring your tools or painting gear if you have them, and come join the fun! It's such rewarding work to create things for the production and then more fun to see them onstage!!

Prizes for Selling Tickets
Weekly Wonka prizes will be given for the top ticket sellers each week! Winners will be announced at Sunday rehearsals. Tickets…Tickets…Tickets!!!
Now is the time to order your tickets for best seats (all seats are reserved, so order early!!). Order forms were in your folders this weekend and the online ticket site is up and running. Visit
http://www.bayareaetc.org/tickets.html to purchase your tickets today! Make sure to include your cast member's name in order for to receive credit (remember we ask every family to sell at least 25 tickets.)
You can also order Proud Parent Passes and Vouchers online (see the left menu bar on the ticket order page) or you can complete the order form and put it in the tickets folder at rehearsal.
 

Vouchers
: 10 ticket vouchers come in a pack for $120 (a $30 dollar savings) and each voucher is good for one reserved seat/ticket to any of the Wonka shows. These are great for family, friends and teachers! Remember the vouchers need to be turned for a ticket with a seat assignment. Shows will sell-out so please make sure to exchange your vouchers for specific shows once you know which shows you want to attend.
 

Proud Parent Pass
: A great way to see every show for one low price -- $50! These are only available for parents of the actors and each parent needs to have their own pass (they are not transferable). Seats are assigned the day of the show, so come to the box office early on show days to obtain a reserved seat.

 
Nitty Gritty Day
We are nearly done with Act I sets being built, so will have lots of painting to do! We will also be making costumes, finding props for the show, bundling flyers for school backpacks and more. This is our first day to have big push to get things rolling at the warehouse. All families are required to be represented by one member of their family. Some things to remember: wear appropriate shoes for working in the warehouse. closed-toe, no heels, sandals, flip-flops. even in the costume/prop area!! We need brushes, and need folks to bring tools, especially cordless drills with screw bits. Wear clothes that can get dirty or painted.

Rehearse At Home
Please be sure that your actor is practicing at home. They should be practicing the words to the songs even without music. Also, they should be reviewing the dance steps and blocking they have learned. We are doing an Act 1 Run Through next weekend so it is very important they remember what they are doing. We will have a rehearsal CD with all the music for them this weekend. This way, they can practice with the music at home!
 

Set Crew
It is time to start building the factor! Designs are in and there is construction to be done. There will be lots to do. Every Saturday from 10:00am-3:30pm and every Sunday from 1pm-6pm, construction will be taking place at the warehouse. EVERYONE IS WELCOME! If you did not sign up for set crew but really want to build, paint or just want to use power tools, you are welcome. Bring your tools if you have them. There is nothing like sitting in the audience and looking at a beautiful set and thinking "I made that!" When you get to the warehouse, look for Jeanne and she will get you a task.

All order forms are due on October 3. Please be sure to turn them into the "Returned Forms" box in the "Order Forms" folder or you can give them to Danielle.
 

NITTY GRITTY DAY – Sunday, October 4
Sunday, October 4 from 1pm-6pm is Nitty Gritty Day. This is the day for all families to come to the warehouse and work on projects for the show. There will be set construction, painting, costuming, publicity, props and more! The hours spent at Nitty Gritty Day count towards your 25 hours of required volunteer hours. Be sure to sign in to get credit!
 

Headshots
Headshots will be taken on October 11. The photographer will be at Parkside. Actors will be called either by group or alphabetically, whichever one makes sense once we know the schedule. Look for call times in the upcoming Wonka Weekly. You can find a headshot order form on the website forms page. The form must accompany the actor if they are ordering a headshot regardless if they are ordering extra photos or not. Rehearsal Expectations
Every actor has been provided with a "Willy Wonka" script and music. Please have your actor put it in a three ring binder and bring it to rehearsal every week along with a pencil and a bottle of water and a snack. If you actor has not received their script or music, it is because they have not notified me that they do not have one. If they need one, have them see me when they first arrive on Saturday.
 

Conflict Expectations
There may have been some confusion about both conflicts and leaving rehearsal early or arriving late. Let me try to clear it up.
 

Actors are not entitled to conflicts. Conflicts are reserved for actors who may be sick or have a function that they cannot miss. We allow up to three conflicts without question. However, if the actor misses rehearsals and are unable to learn what they missed from another ensemble member, then they will be evaluated and may be removed from a number.
 

If an actor is going to be late to a rehearsal or leave early from a rehearsal, we expect to know prior to the actor arriving at that rehearsal. You must email
wonka@bayareaetc.org as soon as you know. It is unacceptable for actors to leave rehearsal unless we know ahead of time.

This past weekend, we had many actors arrive late and leave early, and not even show up without letting us know ahead of time. Staff schedules rehearsal with the knowledge of who is missing and leaving early or late. When they are working on a scene or a song and someone unexpectedly disappears, it makes it difficult for staff. Staff expects all actors to be at rehearsal on time and ready to work hard.
 

Please also be sure to read the schedule below carefully to ensure prompt arrival.
 

Behavior Expectations
Staff expects actors to show up to rehearsal ready to learn and have fun. However, the first weekend of rehearsal was a bit shaky. There was a massive amount of chatter while the choreographer was trying to teach a number and it began to get frustrating to her. As one point, one of the adults in the show counted 13 times she had to say "be quiet" to the group in a 15 minute period. An e.T.c. Board Member did have a chat with the whole group about respect and paying attention, but we need to also bring it to each parent’s attention as well. If an actor continuously needs to be told to be quiet and respectful, there will be a meeting scheduled with their parent and they may be removed from the number. It is very important to the staff that the kids have fun, but it is equally important that they learn what is taught and be able to perform what they learned. Please talk to your actor about when it is appropriate to chat and when it is best to keep quiet and learn. Just a reminder, you child signed a participant behavior contract prior to auditioning. All the points above are covered in that contract.

 
Weather for this coming weekend
It has been reported that it is going to be very warm this weekend. Please be sure to bring healthy snacks and lots of water to rehearsal to stay hydrated.
 

Shoes at Rehearsal
Shoes are required at rehearsal AT ALL TIMES for safety reasons. It is best if actors can wear some type of jazz shoes. If not, a comfortable pair of tennis shoes is fine. However, sandals and bare feet are not allowed during rehearsal time. Also, Group F must all wear jazz shoes during rehearsal.

**Those in Groups E & F who are not in Golden Age of Chocolate can leave from 4:00pm to 5:00pm or they can stay. If they stay they can bring a snack or a lunch/dinner and eat it outside or just hang out with the others as long as they are respectful to those rehearsing.

Rehearsal Expectations
On Saturday, the staff covered expectations with the cast as well as had a read through of the script and learned some of the songs.  If your actor missed rehearsal, please be sure they ask another member of the cast what was covered. I am including expectations once again this week in the news.
 

Every actor has been provided with a Willy Wonka script. Please have your actor put it in a
three ring binder and bring it to rehearsal every week along with a pencil and a bottle of water and a snack.. No food is allowed in the LGI room so the snack should be wrapped and they can eat it at during their break.
 

If your actor did not receive a copy of the script, please have them see me (Danielle) to get one.
 

In order for rehearsals to run smoothly and the actors to get the most out of rehearsal please have your actor at rehearsal 5 minutes early. Also, anyone who has long hair must pull it back in a ponytail or clips and away from their face.
 

It is also important that actors wear closed toed shoes that are comfortable to dance in. This means no sandals, flip-flops or crocs! They should also wear clothing that is easy to move in. And remember girls, no bra straps or belly buttons showing.
 

If your actor missed this past weekend rehearsals or will be missing rehearsals in the future, it is his/her responsibility to learn what they missed. They will need to meet with their counterpart or another person in their ensemble group to learn with they missed. This must be done on their own time and not during rehearsal. This should be done prior to the next rehearsal. Failure for the actor to learn the number may result in them being cut from that number.
 
Set Construction Crew
We will be working at the warehouse this weekend.  Please bring your tools and gloves and wear clothing that can get dirty.  Handy Tools to Bring: Cordless Drill w/screw bits, Cordless Saw, Socket Set or Wrenches, Clamps, Work Gloves.

Headshots will be taken on Sunday, October 11 at Parkside. Specific times for each cast member to arrive for the photos will follow in the weeks to come.
