Descriptions
Cast Party Committee
The Party Committee is responsible for the Cast Party.
The Cast Party takes place after our last show for the
benefit of the cast, crew and their families. Party
Committee members must secure a location for the party
(if not provided), acquire food, beverages, and all
essential party items (plates, forks, cups, decorations,
etc.) and organize entertainment or activities. The
committee is responsible for set up, service and clean up
during and after the party. Specific guidelines and
suggestions will be provided. Additionally, the committee
will send out a RSVP flyer and collect any needed Cast
Party fee from the cast members.
The Cast Party Chair (or co-chairs) will be responsible
for organizing the buying of food and various committee
needs with the committee members (list provided),
tracking collected RSVPs and money, and ensuring that the
party is within budget. Serving on this committee alone
will not satisfy the 20 hour volunteer commitment.
Chaperone Committee
The Chaperone Committee is responsible for
supervising performers during tech week rehearsals and
performances as well as coordinating the performers stage
entrances and exits. The chaperones must be available
during tech week to learn the entrance/exit cues for the
performers. Committee members must commit to working a
minimum of 5 shows including field trips. Chaperones must
also ensure that the backstage area is kept clean during
and after each performance. Chaperones are asked to have
a current Child Abuse Protective (C.A.P.) certificate.
The class free and is usually offered, on site, as part
of Nitty Gritty Day. Sign ups for the performances will
take place on Nitty Gritty Day.
The Chaperone Chair will organize and distribute a list
of assignment dates to each member of the committee based
on the sign up list and recruit additional assistance if
necessary.
Costume Committee
As a member of the costume committee you will work with
the costume designer to develop and distribute costume
guidelines to cast members. Additionally, the
committee helps performers find or make their
costumes, helps with make up for the costumes and checks
to be sure all performers have their costumes ready by
show time. Committee members also are responsible for
monitoring shared costumes. The committee must insure
that costumes can be made at a reasonable cost to the
performers.
The Costume Chair will distribute information, organize
costume checks, ensure that any rental or purchase fees
are collected and keep track of budget expenditures.
Donation Committee
The donation committee is responsible for
sending or delivering and following up on donation
letters (base letter provided) for food items (rehearsal
store, concessions, cast party), material goods (fabric,
lumber, paint) and batteries (sound, stage crew,
chaperones). A beginning list is available for contacts.
The Donation Chair will keep track of, collect and
distribute all donated items and gift cards to the
various committees
Field Trip Committee
The Field Trip Committee is responsible
for sending field trip information to local schools &
senior centers, confirming reservations, collecting
payment, and seating at the field trip
performances. Sign ups for the performances will
take place on Nitty Gritty Day. Except for the chair
serving on this committee alone will not satisfy the 20
hour volunteer commitment.
The Field Trip Chair (or co-chairs) will retrieve and
return Field Trip messages (remotely) & emails on a
regular basis. The Chair will block seat assignments for
each group and organize the ushers for the shows.
Flower Committee
The Flower Chair (or co-chairs) will find (within budget)
a place to purchase the flowers and arrange for the
flowers to be brought during the 2 weekends of
performances.
House Duties and Usher Committee
The House Duties Committee is responsible for the front
of the house prior to, during and after
performances. This involves setting up the lobby
and selling concessions, raffle tickets, and flowers
before, at intermission and after each performance.
Committee members are responsible for ushering and
covering the doors during performances. All members will
help with the CLEAN UP of lobby and house after each
performance. Committee members will stay in the lobby
during the show to ensure each area is manned and assist
patrons. Sign ups for the performances will take place on
Nitty Gritty Day.
The House Chair will distribute a list of assignment
dates, to each member of the committee based on the sign
up list and recruit additional assistance if necessary.
Serving on this committee alone will not satisfy the 20
hour volunteer commitment unless you sign up for all 8
performances.
Outreach Committee
The Outreach Committee is responsible for the
distribution of complimentary tickets to needy
individuals and organizations in the area (an initial
list is provided). Serving on this committee alone
will not satisfy the 20 hour volunteer commitment.
Program Committee
The Program Committee is responsible for gathering,
typing and putting together the information needed for
the program (staff information, 1-liners, committee
information...) and soliciting ads. Serving on this
committee alone will not satisfy the 20 hour volunteer
commitment.
Prop Committee
The prop committee is responsible for finding or making
the needed props as listed by the director and stage
manager. A Prop Master is needed during each performance
to maintain the prop table. The committee is responsible
for staying within the planned budget. The Prop Master is
asked to have a current Child Abuse Protective (C.A.P.)
certificate. The class free and is usually offered, on
site, as part of Nitty Gritty Day. Sign ups for the
performances will take place on Nitty Gritty Day.
The Prop Chair will distribute prop needs list to
participants, track item progress, and collect committee
receipts to ensure budget is maintained.
Publicity and Promotions Committee
The Publicity and Promotions Committee is responsible for
the organization and distribution of show information to
the performers, news media and organizations in the
area. They will work closely with the Board Liaison
on publicity photos and teasers. Tasks include mailing
news releases to newspapers, radio stations etc.,
insuring that posters/flyers are distributed throughout
the community, and soliciting reviewers attendance and
feature stories.
The Publicity Chair also will organize and follow up with
committee members as to coverage of each area.
Raffle Committee
The Raffle Committee is responsible for sending the prize
solicitation letter to the donor list (provided),
distributing raffle information note/tickets to the
performers for selling (tickets are provided and
assembled into booklets during Nitty Gritty Day),
tracking cast raffle returned tickets/money and keeping
track of the donations, creating a raffle sign board, and
sending form letter "Thank you" notes to the donators.
The Raffle Chair (or co-chairs) will make sure tasks are
completed and mail or deliver any unclaimed items.
Set Construction Committee
The Set Construction Committee is responsible for
construction and painting of the set. This
committee will work during rehearsals throughout the
program under the direction of the Technical
Director. The Set Construction Committee is asked
to help with load in, usually scheduled during 2 evenings
of the week just prior to Tech Week. The committee
will also assemble and finish the set on stage prior to
opening and are responsible for organizing strike.
The Set Construction Chair will distribute needed
information as to construction dates and needs (i.e.
tools, trucks, painters) via email, notices and rehearsal
or via the website.
Stage Crew Committee
The Stage Crew tasks consist of set changes, spot
operation, sound operation, light operation and special
effects during the performances under the direction of
the Technical Director. To maintain continuity of the
performances committee members should commit to working a
minimum of 6 shows, including some field trips, and must
be available during tech week to learn cues. Stage
Crew is asked to help with load in, usually scheduled
during 2 evenings of the week just prior to Tech
Week. Stage Crew members are asked to have a
current Child Abuse Protective (C.A.P.) certificate. The
class is free and is usually offered, on site, as part of
Nitty Gritty Day. Sign ups for the performances will take
place on Nitty Gritty Day.

Ticket Committee
The Ticket Committee is responsible for selling
tickets and distributing "will call" tickets at the
shows. Committee members must be available 1 hour
prior to curtain time. Serving on this committee alone
will not satisfy the 20 hour volunteer
commitment.
