I ordered a Proud Parent Pass ... Now What?
If you ordered a proud parent pass Danielle or Bonnie will be taking you picture (sometime in the next two weeks) and you will receive a small card that is your proud parent pass. One hour before show time you can present this pass at the Box Office at the theater and receive an assigned seat. You need to have the pass with you and the pass are not transferable between parents.
I ordered ticket vouchers ... Now What?
You should receive your vouchers in your folder at rehearsal. You can redeem them by emailing tickets@bayareaetc.org and detailing how many seats you would like and for what show and what voucher numbers you would like to use. Then you need to bring the voucher to rehearsal or the box office to receive your tickets. Another way to order is to bring your vouchers to rehearsal and put them in the ticket envelope - make sure you have specified on the voucher the show for which you would like to have tickets. You can also bring your vouchers to the Box Office one hour prior to show time and receive tickets, however, seats are assigned and you will receive better seats if you order ahead!

Attention All Parents
It's time to move our beautiful sets from the warehouse to the theater. We need as many hands as possible this Friday afternoon/evening. We will be meeting at the warehouse at 1:30pm on Friday afternoon. The plan is to load the truck by 3:30 and be at the Woodside Theater by 3:45pm to start unloading into the theater at 4:00 sharp. Once the truck is unloaded, there are many set pieces to assemble, railings to attach and flats to fly. We have the theater reserved until 12 midnight and we hope to finish before then, if we get enough help. If you are unable to make it at 1:30pm at the warehouse or 4pm at the theater, we will welcome your help whenever you can get there even if it is after work.
Then, on Saturday morning, the director has asked that set crew and stage crew arrive at 10am to start Cue to Cue without actors. The actors will arrive at 12 noon for the first two tech run throughs on stage. The goal is to have the sets ready to go at that time. We are asking all stage crew members and as many of the set construction crew as possible to come on Saturday and help finish the sets. Then we'll work through the scene changes so that things are as smooth as possible when the cast arrives.
For those on the Stage Crew and those who may be interested in some "techie" jobs:
There are still lots of gaps in the shift list. We need at least 8 stage crew members for each show, but having 9 or 10 will make things run much more smoothly.
Besides moving sets, we also need volunteers for the following jobs:
Sound Board Operator - 2 people
Light Board Operator - 2 people
Fly System Opeartor - 2 people
Spot Light Operator - 3 people
You will be fully trained on all of the above jobs. These duties are really fun because you get to be a huge part of the show. Please email orphanupdate@yahoo.com if you are interested. As time is of the essence, please respond no later than noon on Friday, May 1. You would need to be available for all of tech week for the training and practice (Sat, Mon, Tues, Wed, Thurs).
If you didn't originally sign up to be on Stage Crew, but would like to help out, we would love to have you. It's great fun to watch the show from the wings and to get to be part of the magic to make the show happen.

Tech Week
Next week begins Tech Week. This is that intense week I told you all about at the parent meeting during auditions. Can you believe it is here!
What is tech week you might ask….
Well Tech Week is the week where the actors and staff move into the theater and take what they learned at Parkside for the past 9 weeks and bring it to the stage to get ready for opening night. This is a very exciting time but a very busy and hectic time. Time at the theater begins on Saturday, May 2 with a safety tour of the theater. The staff will teach the kids theater etiquette and rules that they will need to abide by during the show run. The rules are in place mainly for the safety of the actors, stage crew and volunteers.
Once the safety talk is done and the actors begin to run through the show, the actors will be situated back stage in the "green room".
As you know already or may have heard from other parents, tech week requires the actors to sit around – A LOT. There are many tech pieces that need to be worked out with the director, stage manager, choreographer, music director and orchestra, vocal director, lighting and sound designer, set designer, set crew, and stage crew (did I leave anyone out?). But the cast must be there to work their scenes when it is time to be on stage, so it is vital the actors are there the whole day.
This presents the issue of "how do we keep the kids quiet, attentive, active but not too active, and interested?" Good question! The actors should bring activities to keep them busy. One thing I do is ask my daughter’s teacher for her homework for all next week and she works on that during the down time. I have also seen kids playing cards, knitting, playing travel board games, reading books, doing crossword puzzles, coloring, drawing…you name it. If it is a quiet activity, it is a good idea to bring it! Be sure anything your child brings is clearly labeled so if it is misplaced (come on – I’m just being realistic) it is easy to get it back to the owner.
On our long Saturday call, staff and chaperone volunteers will do our best to give the kids some time to get outside and run off some of their energy. We all know it is hard to keep kids quiet when there are 99 of them, but we will get them some time to get fresh air and stretch their legs.
Remember to send your child with a lunch and snack on Saturday. They are not allowed to eat in the theater or back stage, but we will provide them time to have lunch and snack.
Costumes, Hair & Make Up
If you remember, in the parent meeting, we ask that the actors arrive at the theater in their costume with their hair and make up done and ready to go. It is important that this happen because our call time is so short, we will need all the time we can get for all the technical warm ups. Hair and make up will not be permitted to be done at the theater. Actors should take their costume home each evening. It is best to have a labeled laundry basket they can use to bring their costumes back and forth in after every show. Be sure that their costume is also clearly labeled.

Calling all bakers or those who shop at a good bakery! As you know a cast party is planned following the last performance and strike on Sunday, May 17th. Time will be approximately 5:30pm - 7:30pm. There will be music, food and lots of fun!

Help needed to distribute show flyers in private schools
We will get show flyers out to the public schools in San Mateo County through the Publicity Committee members, but will need help with private schools in the area.
If your child attends a private school, can you please pick up some flyers at rehearsal this weekend to distribute to your school? There will be a stack of show flyers bundled in 25's as well as a sign-up sheet to indicate how many you are taking and for which school. Flyers will be available both Saturday and Sunday. Thanks in advance for your help getting the word out on our great show!
House Duties & Chaperone Committee
There is still open spots on the house duties and chaperoning boards. Please fill up those spots this weekend. If you have not completed your hours yet, this is a great way to fulfill some of those hours.
Raffle Prizes
We need a BIG TICKET raffle prize for the raffle. If you have any connections to prizes that would be donated for the raffle, please solicit them. Remember, we are non profit so it is a tax deduction!

Nitty Gritty Day #2 – Sunday, April 19 – 12-6pm
Whoa! It is amazing that we are this close to opening Annie! There is still lots to do for everyone – painting, building you name it. Wear your grubbies and bring your tools. This is really the last chance we have to get the sets done! There will be a sign in sheet so be sure to sign it to get credit for your hours. Check in with Jeanne, Denise or Kevin when you get there for a job to do. All cast is called on Sunday from 12-6pm so drop your actor off and head over to the warehouse.

Order forms for Proud Parent Pass and Vouchers were in your folders. The hard copy of the ticket order form will be in the folders this week. Remember we ask every family to sell at least 25 tickets. By purchasing a voucher pack, you can save $30. You can also purchase a Proud Parent Pass and save. Remember, the Proud Parent Pass does not allow you to purchase pre sale tickets. You must purchase your tickets at the box office one hour prior to the show you plan to attend.

Posters Are Here!
Help us get the word out on our great show so that we can fill the house! Posters will be available at both rehearsals this weekend. There will be a sign-up sheet so you can record the number of posters you are taking and where you are planning to put them up (Example: Laurel Street in San Carlos).

Ads
This is the last weekend to put an ad in the program. Approximately 2000 people see the program during the run of the show. The ad form is online at . You can turn it in at rehearsal by April 19. The ad must either be ready to scan or ready to download. You can email an electronic copy of the ad to orphanupdate@yahoo.com.
House Duties & Chaperone Committee
There will be a large Sign Up board outside of rehearsal for the next few weeks. If you are on these committees, please sign up for shifts. Remember, if you have not done any volunteer hours and you are saving it for House Duties and Chaperoning, you need to work 6 shifts to fulfill your 25 hour volunteer commitment. House duties includes the concessions, flowers, ushering and the raffle table. Chaperoning includes working back stage with the actors, helping to keep them quiet, get them changed from one costume to another if they need it and calling the cues when it is time.

Bios & Head Shots
It is time to have the actors write their bios. Bios should be one paragraph and written in third person. For example, Jane is 7 years old and Annie is her first e.T.c. production. In her free time, Jane likes to…. You get the picture. If your actor is having trouble getting started, here are some questions he/she can answer to get started:
What other plays have you been in?
What did you like best about being in the production?
What is your favorite thing about acting?
In addition to acting, what other activities do you participate in?
Is there anything else you would like others to know about you?

Group F - Specialty Dance Orphans
If you have not already, Miss Jenny would like everyone to purchase knee pads. She is requesting skin colored or white. These will go under the girls bloomers. They can start rehearsing with them immediately. This will help thier knees for the dance moves, especially in Hard Knock Life. Please be sure to get the flat ones and not the raised ones that are meant for volleyball. If you have questions you can ask Danielle.

You must purchase your tickets at the box office one hour prior to the show you plan to attend.
Publicity: Help needed to distribute show flyers in private schools
We will get show flyers out to the public schools in San Mateo County through the Publicity Committee members, but will need help with private schools in the area.
If your child attends a private school, can you please pick up some flyers at rehearsal this weekend to distribute to your school? There will be a stack of show flyers bundled in 25's as well as a sign-up sheet to indicate how many you are taking and for which school. Flyers will be available both Saturday and Sunday. Thanks in advance for your help getting the word out on our great show!

House Duties & Chaperone Committee
There will be a large Sign Up board outside of rehearsal for the next few weeks. If you are on these committees, please sign up for shifts. Remember, if you have not done any volunteer hours and you are saving it for House Duties and Chaperoning, you need to work 6 shifts to fulfill your 25 hour volunteer commitment. House duties includes the concessions, flowers, ushering and the raffle table. Chaperoning includes working back stage with the actors, helping to keep them quiet, get them changed from one costume to another if they need it and calling the cues when it is time.

We need prizes for the raffle. If you have any connections to prizes that would be donated for the raffle, please solicit them. Remember, we are non profit so it is a tax deduction!

Headshots
Headshots will be taken on March 22. The photographer will be at Parkside. You can find a headshot order form on the website forms page. T-Shirt Orders – Last Chance!
Each actor who signs up and auditions for the show will receive a T-Shirt. T-shirt size request was in the original registration packet. I will be asking the actors whose t-shirt size was missing on the form for their sizes this weekend at rehearsal.
If you are an adult actor who was "recruited" by the staff or the board, your name will be on the t-shirt. However, due to the cost of the t-shirts, you will have to purchase a shirt if you would like one. The t-shirt order is on the Order Form given at the parent meeting during auditions. Fundraiser Dinner – Last Chance!
Mark You Calendars! The e.T.c. 2nd Annual Fundraiser Dinner will be held on March 28 at Astaria Restaurant and Bar in San Mateo. The cost is $75 per person and includes a four course meal, tax and tip. A no host bar will be available. A flyer is attached to this email regarding the menu choices and the order form. You can also pay on our website through Pay Pal at http://www.bayareaetc.org/fundraisingdinner.html. This is a wonderful night to meet other parents who are involved in e.T.c. while helping raise money for this worthwhile non-profit organization.

Please Note: This week will end Saturday rehearsal rotations. Because we are getting closer to the opening of the show, Saturdays and Sundays will be reserved for longer rehearsals with individual groups to be sure their numbers and scenes are polished and ready to go. Times of Saturday rehearsals will change beginning March 21.
Please Also Note: Send only water and healthy snacks to rehearsals. Food is not allowed in the LGI room. All snacks must be eaten outside.
MINIMIZE CONFICTS
There have been a large number of actors missing rehearsal on a regular basis. Please minimize conflicts to only when you are sick or absolutely need to miss. When an actor misses rehearsal, they miss their part in a scene, song and dance and it is hard for the other actors to rehearse that scene when the actor isn’t there. An actor who misses rehearsal is obligated to learn what they missed from their counterpart or another member of their ensemble group. The director, choreographer, and vocal director will not review it individually with the actor.
As you can see, this subject has been part of each Orphan Update and has been a huge problem this far into the rehearsal process. If an actor misses too many rehearsals and cannot seem to catch on to their part, it may cost them lines and/or dance numbers.

OFF BOOK
All actors are asked to be Off Book for Act 1 run though on March 21. This means that everyone in the entire play (NO EXCEPTIONS!) must have all of his/her songs and dances and scene blocking and lines completely memorized. Occasional prompting will be available and allowed. Significant prompting will not be tolerated and might result in an actor's role being reduced.
NITTY GRITTY DAY – Sunday, March 15
Sunday March 15 from 1pm-4pm is Nitty Gritty Day. This is the day for all families to come to the warehouse and work on projects for the show. There will be set construction, painting, costuming, publicity, props and more! All cast will be called from on that Sunday. The hours spent at Nitty Gritty Day count towards your 25 hours of required volunteer hours. Be sure to sign in at Nitty Gritty Day! Every Saturday from 11:30am-3:30pm and every Sunday from 1pm-4pm, construction will be taking place at the warehouse. EVERYONE IS WELCOME! If you did not sign up for set crew but really want to build, paint or just want to use power tools, you are welcome. Bring your tools if you have them. There is nothing like sitting in the audience and looking at a beautiful set and thinking "I made that!". When you get to the warehouse, look for Jeanne and she will get you a task.

T-Shirt Orders
Each actor who signs up and auditions for the show will receive a T-Shirt. T-shirt size request was in the original registration packet. I will be asking the actors whose t-shirt size was missing on the form for their sizes this weekend at rehearsal.
If you are an adult actor who was "recruited" by the staff or the board, your name will be on the t-shirt. However, due to the cost of the t-shirts, you will have to purchase a shirt if you would like one. The t-shirt order is on the Order Form given at the parent meeting during auditions. Fundraiser Dinner
Mark You Calendars! The e.T.c. 2nd Annual Fundraiser Dinner will be held on March 28 at Astaria Restaurant and Bar in San Mateo. The cost is $75 per person and includes a four course meal, tax and tip. A no host bar will be available. A flyer is attached to this email regarding the menu choices and the order form. This is a wonderful night to meet other parents who are involved in e.T.c. while helping raise money for this worthwhile non-profit organization. RESERVATION & PAYMENT DEADLINE IS MARCH 22.

Preview Shows
It is time to start getting the word out about field trip shows! You can download the Preview Show forms on the website. I will send out the link when it is available. Traditionally, these Preview shows are held in the morning and schools come to watch the show. Because these preview shows are in the evening, we need as many parents to help get groups to the evening shows. If your actor is involved in Brownies, Girls Scouts, Boy Scouts, Religious School, Soccer, Baseball, Softball, Dance, Gymnastics or any other activity, please try to get as many of those groups to the show as possible. The ticket price is only $5 per person with one adult chaperone free per 10 kids. Get the word out!

OFF BOOK
All actors are asked to be Off Book for Act 1 run though on March 21. This means that everyone in the entire play (NO EXCEPTIONS!) must have all of his/her songs and dances and scene blocking and lines completely memorized. Occasional prompting will be available and allowed. Significant prompting will not be tolerated and might result in an actor's role being reduced.
From the Staff
Whether your actor(s) has missed rehearsal completely or has left rehearsal early, the entire rehearsal counts as an absence! It’s a huge deal because then your actor MUST learn his/her part that she/he missed before the next rehearsal, on hi/her own. After 3 absences, excused or unexcused, an actor(s) time on stage may be reduced.
No actor may ask the artistic staff to re-teach something that the actor missed due to an absence. The staff is very pressed for time and needs the actors to come to rehearsal prepared and ready to add to what has been learned at the previous rehearsal(s). If an actor cannot catch on to a dance/blocking/song/previously rehearsed, the actor may be removed from that dance/scene/song, in its entirety or in the section(s) missed.
When you come to pick your child up and rehearsal is not quite finished, please wait outside until the scene/song/dance is finished. We respectfully ask that no one interrupt these onstage ‘moments’! In return for your patience, the actors will be dismissed as soon as the staff is finished with what they are working on at that time. The staff will do their best to dismiss as close to the posted ending time as possible.
Parents & Actors – Please refrain from questioning or talking to the Artistic Staff before, after and especially during a scheduled rehearsal. We are beginning our rehearsals very late and valuable time not being spent rehearsing the show. Please direct all questions and paperwork to Danielle or Amy before and after rehearsal.
SET CREW
It is time to start building New York! Designs are in and there is construction to be done. There will be lots to do. MUSIC UPDATE
We have hired a new co-vocal director Justin, who will be sharing time with Robin. We are very excited to have him. We are a bit behind on the music at this time. To reach the point we need to with the music, we may have some extended rehearsals in the upcoming weeks including on Saturdays. Please be sure to watch the Orphan Update to confirm rehearsal times.
NITTY GRITTY DAY – Sunday, March 15
Saturday March 15 from 1pm-4pm is Nitty Gritty Day. This is the day for all families to come to the warehouse and work on projects for the show. There will be set construction, painting, costuming, publicity, props and more! All cast will be called from 1pm-4pm on that Sunday. The hours spent at Nitty Gritty Day count towards your 25 hours of required volunteer hours.

Adult Actors are all considered to be in Group E. I am going to work out with Christie and Jenny this weekend when exactly the adult actors are needed and confirm with you.
When Your Actor Is Called
There has been some confusion about when your actor is called. I will be sure to include group letter along with the name of the ensemble group to clear it up for the future.
Also, if your actor is not called for a certain number, please do not have them at the rehearsal because it is distracting to the other actors as well as to the staff.

No food is allowed in the LGI room so the snack should be wrapped and they can eat it at during their break.

They will need to meet with their counterpart or another person in their ensemble group to learn with they missed. This must be done on their own time and not during rehearsal. Rehearsal Expectations
On Saturday, the staff covered expectations with the cast as well as played some fun theater games. If your actor missed rehearsal, please be sure they ask another member of the cast what was covered and what "attention getters" the staff is using. I am including expectations once again this week in the news.

Still Need Adults
Dancing Adults: We still need adults for some dance numbers. "I Think I’m Gonna Like It Here", "NYC" and "We’d Like To Thank You Herbert Hoover" all need adult dancers to be part of the ensemble.
Non-Dancing Adults: We still need some adults to be in the Roosevelt’s Cabinet. There are small singing parts for the song "Tomorrow" but absolutely no dancing. We need some men and one or two women.
